Our commitment
SEND Life is designed and operated with the requirements of the UK General Data Protection Regulation (UK GDPR) and the Data Protection Act 2018 in mind. SEND Life is a support and record-keeping platform for parents, carers, schools, SENCos and authorised professionals.
UK hosting and secure storage
The primary SEND Life application data, member account information and documents uploaded by members are stored in a secure MySQL database and protected file storage on UK-hosted infrastructure provided by 20i. Connections to SEND Life are protected using HTTPS encryption.
20i was named PC Pro Best Web Host in 2023, 2024 and 2025. Its UK hosting platform uses UK data-centre infrastructure designed for security, resilience and availability.
No online service can promise that security incidents will never happen. SEND Life uses access controls, secure connections, account authentication, software updates and restricted administrative access to reduce risk and protect member information.
Your information is not used for unrelated purposes
Information and documentation added by a member is used only to provide SEND Life features to that member and to people the member has authorised. SEND Life does not sell member information, use uploaded documents for advertising, or make member documents available for unrelated commercial use.
Uploaded documents are not used to train public artificial-intelligence models. Where a member deliberately chooses an AI-assisted feature, only the information needed to provide that requested feature should be processed for that purpose.
Sensitive and children's information
SEND Life may hold sensitive information concerning children, education, SEND needs, health, medication, behaviour, safeguarding and family circumstances. Members must only add information they are authorised to record and must only share it with people who have a legitimate reason to receive it.
Parents, carers, schools and professionals remain responsible for deciding what they upload, who they share it with and whether the information is accurate and appropriate.
Access and account protection
Members should use a strong, unique password and must not share account access with unauthorised people. SEND Life uses role and permission controls to restrict access to records. Administrative access is limited to authorised people who need it to operate, secure or support the service.
Your data protection rights
Depending on the circumstances, members may have the right to:
- ask for a copy of their personal information;
- correct inaccurate or incomplete information;
- request deletion of information;
- restrict or object to certain processing;
- request transfer of information in a usable format; and
- complain to the Information Commissioner's Office.
Some information may need to be retained where required by law, for security, fraud prevention, accounting, dispute handling or the protection of legal rights.
Ownership and Use of Your Information
All information, documents, photographs, reports, notes and other content that you add to SEND Life about yourself or your child remain under your ownership and control.
SEND Life does not take ownership of the information you upload. Your information will only be processed where necessary to provide the SEND Life service, operate your account, keep the platform secure, provide technical support and meet our legal obligations.
Information entered about a child will not be sold, rented or shared with other organisations for their own marketing, advertising, profiling or commercial purposes.
We will not use information about a child to advertise products, create advertising profiles or train third-party artificial intelligence systems.
Sharing Information with Service Providers
SEND Life does not provide users’ information or children’s records to unrelated third parties for their own use.
We may use carefully selected service providers where they are required to operate and secure the platform. This may include our website hosting provider, database provider, email delivery provider, payment processor and other essential technical services.
These providers may only process information on our instructions, for the specific service they provide, and must protect it appropriately. They are not permitted to use children’s information for their own advertising, marketing or unrelated business purposes.
We may also disclose information where we are legally required to do so, where it is necessary to protect someone from serious harm, or where disclosure is required by a court, regulator or law-enforcement authority.
Cookies and Related Products
SEND Life uses cookies and similar technologies.
Some cookies are essential for the website and application to work properly. These may be used to keep users signed in, protect accounts, remember security settings, maintain a user’s session and save preferences.
With the user’s permission, SEND Life may also use optional cookies to understand how the platform is used, improve the service and show users information about relevant SEND Life features, services or related products that may be useful to them.
Recommendations will be based on information such as website activity, pages viewed, account type or general service interests. SEND Life will not use private documents, medical records, school reports, evidence logs or sensitive information entered about a child to select advertising or recommend third-party products.
Where consent is required, optional cookies will not be placed until the user has made a choice. Users can reject optional cookies or withdraw their consent at any time through the cookie settings on the website or through their browser settings.
Rejecting optional cookies will not prevent users from accessing the main SEND Life service, although some optional or personalised features may not work in the same way.
SEND Life will clearly identify any third-party cookies or services used and explain their purpose within its Cookie Policy or cookie settings.
Data requests and security concerns
To ask about personal information, request deletion, report a concern or notify SEND Life of a possible security issue, email info@sendlife.co.uk. Identity or authority may need to be verified before a request is completed.
